Terms & Conditions
Please read these Terms & Conditions carefully before making a booking with Belle Glamping & Events. By completing a booking with us, you (the hirer) agree to accept all of these Terms & Conditions on behalf of yourself and all guests included in your booking.
These Terms & Conditions include an Assumption of Risk (Section 09) and a Release of Liability, Waiver & Indemnity (Section 10). By ticking the box at checkout and completing your booking, you confirm you have read and agree to them in full.
The hirer must be 18 years of age or older. Belle Glamping & Events reserves the right to update these Terms & Conditions at any time without prior notice.
Section 01
Acceptance of Terms & Your Group
By booking with Belle Glamping & Events (ABN 11 472 431 359), you agree to these Terms & Conditions, our Privacy Policy and any additional guidelines provided before or after your reservation.
The hirer accepts these Terms & Conditions on behalf of themselves and all family, friends and guests included in the booking, whether or not those guests are present at the time of booking. By completing a booking, the hirer confirms that:
- They have the authority to accept these Terms & Conditions on behalf of every guest in the booking;
- They will tell every guest in their party about these Terms & Conditions before the booking begins;
- Their acceptance is binding acknowledgment for every guest named on the booking;
- If any guest is under 18, they are that guest's parent or legal guardian, or have been authorised by one.
Outdoor experience disclaimer
Glamping is an outdoor experience set within natural environments. While every effort is made to provide a comfortable and thoughtfully prepared stay, guests acknowledge that outdoor settings carry inherent risks — including changing weather, natural terrain, insects, wildlife and reduced lighting after dark. Guest participation is voluntary and undertaken at the guest's own risk.
Section 02
Bookings & Payments
2.1 Booking Confirmation
Online bookings are confirmed once full payment has been received at checkout. Bookings made by invoice (including weddings, private events, corporate and school bookings) are confirmed once the invoice has been paid in full by its due date. Verbal conversations do not constitute a confirmed booking.
A non-refundable admin fee of $15.00 (inc. GST) applies to every booking and will appear as a separate line item at checkout or on your invoice.
2.2 Payment Requirements
Online bookings must be paid in full at the time of booking. Invoiced bookings must be paid in full by the due date shown on the invoice.
Payment can be made by credit or debit card, or by bank transfer for invoiced bookings. No surcharge applies to card payments.
2.3 Security Bond
A security bond of $250.00 applies to all bookings. The bond is a pre-authorised hold placed on the card used for your booking before your stay. It is not a charge, and the funds are not taken from your account unless the bond is claimed.
The bond covers damage, loss, excessive cleaning, or any breach of these Terms & Conditions, venue rules or campsite rules. The hold is released after your stay once the equipment has been packed down and inspected. Your card provider may take a few business days to show the release.
If all or part of the bond is claimed for any of the above, you will be notified by email with the reason and the amount.
Campsite booking responsibility
It is your responsibility to book and pay your campsite fees directly with your venue provider in advance. Please share your campsite booking reference or site number with us where applicable. Belle Glamping & Events handles bell tent, marquee, lounging and dining equipment hire only — the campsite itself is a separate booking.
2.4 Delivery & Travel Fees
Delivery within 30km of our base location (Doyalson, NSW) is free of charge. A travel fee applies for delivery beyond this radius, calculated by distance zone and confirmed at checkout. Delivery to Glenworth Valley is always free regardless of distance.
For locations beyond our standard delivery zones ("Zone D"), delivery is priced on application. Where a booking falls into Zone D, an estimated fee will not be shown at checkout — Belle Glamping & Events will contact you directly to confirm the delivery fee, which will be added to your invoice and must be paid prior to your booking being confirmed.
It is the hirer's responsibility to select the correct delivery zone or provide an accurate delivery address at the time of booking. If the address provided is found to fall within a further zone than selected — including where a booking is later identified as Zone D — Belle Glamping & Events reserves the right to charge the correct delivery fee. Any additional fee will be confirmed with the hirer and invoiced separately after booking; the correct fee is payable prior to delivery, and Belle Glamping & Events reserves the right to delay or decline delivery until it is paid.
2.5 Advance Booking Notice
A minimum advance booking notice period applies to all bookings (excluding events). Bookings require a minimum of 48 hours' notice prior to your arrival date.
2.6 Minimum Stay
A minimum stay of 2 nights applies to all suites and locations, and 3 nights on long weekends and public holidays, unless otherwise stated for a private event.
Section 03
Cancellations & Refunds
3.1 Cancellations by the Customer
All cancellations are non-refundable. However, we will provide a booking credit for a future glamping stay with us (subject to suitable dates and availability) with a 12-month expiry date from your original booking date.
Transferring your booking to another person is permitted, however a $50 transfer fee applies.
3.2 Cancellations by Belle Glamping & Events
We understand how important your event date is. However, we may need to cancel or reschedule your booking due to unsafe weather conditions, pandemics, government restrictions, acts of God, or any other circumstance beyond our reasonable control.
Important
If we have already commenced setup at your site, no refunds or rescheduling will apply. This also applies to no-shows. No refunds will be provided under these circumstances.
Section 04
Safety, Site Requirements & Customer Responsibilities
4.1 Site Requirements for Private Residences & Venues
The hirer must have the site ready and all animals secured prior to our arrival. We require a safe and uninterrupted environment to work in. A level grassy area is required to pitch the bell tent/s, along with clear vehicle access.
For bookings at a private residence or venue, the hirer confirms they have the authority to allow Belle Glamping & Events to access the site and pitch tents using ground pegs. Any required property permissions (for example, Airbnb properties) are the hirer's responsibility to arrange before our arrival.
The hirer must tell us the location of any underground sprinklers, irrigation pipes, cabling or other services on the proposed tent site before setup.
4.2 Prohibited Items & Activities
The following are strictly prohibited inside or near any bell tent, marquee, lounging suite, dining setup or other hired equipment at all times:
- Pets or farm animals
- Open flames, candles (other than those supplied by Belle Glamping & Events), lighters, fireworks or heaters
- Smoking or vaping
- Cooking inside the tent
- Textas, markers, glow sticks or any glow products
- Any illegal activities
Children must be supervised at all times. All equipment must be protected and all instructions followed.
Section 05
Weather & Environmental Conditions
Belle Glamping & Events may need to refuse setup or dismantle equipment early in the event of extreme weather conditions. Any refunds applicable under these circumstances will be assessed on a case-by-case basis.
Section 06
Arrival, Setup & Pack Down
The hirer must ensure site access at agreed times and vacate the bell tent/s and any other hired equipment prior to the scheduled pack-down time. Late fees will apply if access is not available or if guests have not vacated at the agreed time.
Section 07
Care of Equipment, Damage & Loss
The hirer agrees, on behalf of the group, to:
- Treat all tents, furnishings, linen and hired equipment (including any marquee, lounging setup, dining setup or add-on) with reasonable care throughout the hire period;
- Keep open flames, candles (other than those supplied by Belle Glamping & Events), lighters, heaters and other sources of ignition away from tent walls and canvas at all times;
- Not cook inside any bell tent;
- Tell Belle Glamping & Events as soon as reasonably possible about any damage, breakage or incident involving hired equipment;
- Return all equipment in the condition it was received, fair wear and tear excepted.
The hirer is financially responsible for any damage, loss or excessive cleaning required both inside and outside any hired bell tent, marquee, lounging suite, dining setup or other equipment. These costs may be claimed from the security bond (Section 2.3), and any amount above the bond will be invoiced to the hirer.
Belle Glamping & Events is not liable for any weather impacts, or for injury or damage resulting from misuse of bell tents, cooking equipment, or any other hired items.
Section 08
Occupancy & Use of Hired Equipment
Strict occupancy limits apply to all bell tents. Belle Glamping & Events must be informed of the exact number of guests so we can provide appropriately for that number.
No additional guests or beds
Additional beds or guests cannot be added beyond the number confirmed at booking, by the hirer or any guest. Failure to comply will result in a penalty fee.
Bell tents, marquees, lounging suites and dining setups must not be used for any illegal activities. Smoking, vaping and cooking are strictly prohibited inside bell tents at all times.
Section 09
Assumption of Risk
The hirer acknowledges, on behalf of the group, that glamping and the use of hired camping equipment involve inherent risks, dangers and hazards, and that injury can result from improper use, changing weather, natural terrain, insects and wildlife, or reduced lighting after dark. In particular, the hirer understands that:
- A tent malfunction due to improper use or pre-existing damage can, in rare cases, cause a tent to partially or fully collapse;
- Any candles, lanterns or heating items supplied carry a fire risk if used incorrectly or placed too close to canvas or fabric;
- Children should not be left unattended around tent pegs, guy ropes, hurricane candles or any other equipment supplied;
- Camping and outdoor conditions cannot be guaranteed and are outside Belle Glamping & Events' control.
By completing a booking, the hirer freely accepts and fully assumes all risks, dangers and hazards associated with the booking, on behalf of themselves and every guest included in it.
Section 10
Release of Liability, Waiver & Indemnity
Please read this section carefully. By completing a booking you are giving up certain legal rights, including the right to sue or claim compensation following an incident.

- Waive any and all claims against Belle Glamping & Events for any injury, expense, loss or damage, including death, personal injury, psychological trauma or property damage, arising from or connected to the booking, however caused;
- Release Belle Glamping & Events from liability for such injury, expense, loss or damage;
- Indemnify and hold harmless Belle Glamping & Events against any claim, loss or damage arising from a breach of these Terms & Conditions by any guest included in the booking.
This release does not apply to loss or damage caused by the negligence of Belle Glamping & Events, or to any right or protection that cannot lawfully be excluded under the Australian Consumer Law.
This release is binding on the hirer's heirs, next of kin, executors, administrators and representatives.
Section 11

With your consent, Belle Glamping & Events may use non-identifiable images of our setups for marketing and promotional purposes including on our website and social media channels. We will always seek permission before using any images that may identify individuals.
Section 12
Force Majeure
While every reasonable effort will be made to fulfil all confirmed bookings, performance may be varied, suspended or cancelled where circumstances arise that are beyond our reasonable control.
Such circumstances may include but are not limited to acts of God, epidemics or pandemics, war, industrial action, strikes, riots, fire, flood, severe weather events, government restrictions, or any other event beyond the control of Belle Glamping & Events.
In such circumstances, Belle Glamping & Events shall not be held liable for any loss, damage, delay or failure to perform, and refunds will not be provided unless required by law.
Section 13
